Life happens — marriages, divorces, fresh starts, and new chapters. And sometimes, that means an employee has a legal name change.

 

A client recently reached out asking, “What do we need to do to update an employee’s name in payroll?”

The answer is simple — but important.

 

Before any payroll or official records can be updated, employers should receive:
✔️ A copy of the official legal name-change document
✔️ A copy of the employee’s updated Social Security card

 

Why does this matter?

Because payroll, tax filings, benefits, and government agencies all need to match exactly. Making changes too early — or without documentation — can lead to tax errors, SSA mismatches, and compliance issues down the road.
